Commercial Kitchen Equipment RFQ Checklist: What Importers Should Send for an Accurate Quote
For importers, distributors, OEM buyers and commercial kitchen project teams, an RFQ becomes more useful when the supplier can understand exactly what product is required, how it should be built and how the order will be purchased. A message such as “Please quote a 1200 mm stainless steel sink” may be enough to start a discussion, but it usually does not define the final product.
A good RFQ does not require the buyer to prepare a complete engineering package before asking for a price. It should provide enough information for the supplier to understand the product correctly, identify missing details and reduce unnecessary quotation revisions.

Intended application is useful when it changes the specification. For example, working load, wet-service conditions, electrical configuration, installation interfaces or project requirements may need to be stated. For many standard stainless steel items, however, intended use is not a mandatory field for preparing the first reference quotation.

Why Product Name Alone Is Not Enough
A commercial kitchen product can have many structures under the same general name. A “1200 mm sink” may be one bowl or two bowls, welded or deep drawn, with or without a backsplash, and may use different material grades and thicknesses. A “1200 mm worktable” may be two-tier or three-tier, with a backsplash or flat top, and with different sheet and tube specifications.
The clearer the structure is at RFQ stage, the closer the first quotation can be to the final approved product.
Common RFQ Details That Are Easy to Miss

Why Quantity Matters Beyond Unit Price
Quantity helps SENFON evaluate pricing, production planning, packing and container space. For mixed-product orders, quantity by model helps the factory plan cartons, nesting or KD packing where applicable, and container utilization.
Some products also depend on specific molds. For those items, quantity can affect mold changeover, machine scheduling and production-cycle planning. Any product-specific MOQ or mold requirement is confirmed case by case rather than applied as one universal factory rule.
Starting From a Photo, Drawing or Physical Sample
A product photo can be enough to start a quotation when the main structure is visible and the buyer provides the key dimensions, material and thickness.
If important details are not visible, SENFON may request additional information or prepare a drawing from the buyer's photo, dimensions and explanation. The buyer can then review the drawing and request revisions.
